Job Summary
Under the supervision of the Director of Athletic and Event Facilities, performs clerical and administrative work in support of the Coordinator of Events and Parks Department events, facility rentals, and related activities. Provides customer service to the public, event clients, vendors, and Parks staff and performs routine duties related to scheduling, records, payments, and event documentation.
Duties & Responsibilities
• Provides clerical support for Parks Department events, rentals, and facility use.
• Answers phones, responds to emails, and provides routine information to the public and event clients.
• Maintains event and facility calendars and schedules.
• Receives and processes event and rental applications and related paperwork.
• Maintains files and records related to events, rentals, permits, and payments.
• Prepares routine correspondence, invoices, receipts, confirmations, and other documents.
• Records and tracks event fees, deposits, and payments.
• Assists with scheduling facility tours and event-related meetings.
• Assists with the preparation of event schedules, lists, reports, and other materials.
• Enters and updates information in departmental digital platforms.
• Assists event staff with routine administrative needs before and after events.
• Refers questions, complaints, scheduling conflicts, or other matters requiring supervisory attention to the appropriate staff member.
• Performs other related clerical duties as assigned.
Minimum Qualifications
- Three years of clerical, administrative, customer service, or related experience.
- Ability to perform routine clerical and recordkeeping duties accurately.
- Ability to communicate effectively with the public and City employees.
- Ability to organize work, maintain records, and meet established deadlines.
- Ability to use Microsoft Office and other computer systems as required.
- Ability to follow established policies and procedures.
- Excellent written and verbal communication skills.
