Job Summary
Under the supervision of the City Clerk and/or Deputies performs highly responsible and confidential work in the preparation of reports, statements, requisitions, purchase orders, invoices, etc., works independently with a minimum of supervision and exercising good judgment.
Duties & Responsibilities
- Prepares departmental requisitions, purchase orders invoices and direct payments; maintains accurate balances for departmental accounts.

- Prepares all weekly deposits and annual and quarterly reports along with any official documents under the
- purview of the City Clerk’s Department.
- Types, files, handles correspondence, and performs other related secretarial/clerical duties, as required.
- Provides professional support to the City Clerk, researches information and prepares necessary documents for various committees on an as-needed basis.
- Assists with internal and/or external requests for the retrieval of ordinances and resolutions.
- Facilitates the exchange of documents and information with Archives, including retention schedules.

Minimum Qualifications
- High school graduate or equivalent, with preference for a college degree and/or successful completion of special training in the area of management, administrative procedures, or other relevant area.
- Must be proficient in word processing, spreadsheets, data entry, and other appropriate computer applications.
- Must be able to establish and maintain effective working relationships with the public, using tact and diplomacy at all
- Must have knowledge of general office procedures, practices, and equipment.
- Must be able to perform all essential functions of the job.
Training Requirements
Successful completion of Advanced Computer Training course within six (6) months of appointment.
- Must gain a working knowledge of departmental technology, procedures, services and database systems and software through on-the-job training and usage within six (6) months of appointment.
- Must complete the sponsored Notary Public training and obtain the Notary Public Commission within six (6) months of appointment, or as the trainings are offered following appointment.
Sustainment:
- Must undergo the required periodic training in customer relations, ethics, and diversity/sensitivity.
- Periodic training as required to maintain proficiency in departmental technology and database systems.

The term “limited” means that the successful candidate will perform the job for an undetermined length of time. The position may or may not become permanent.
