Job Summary
Under supervision of the Director of Athletic and Event Facilities, the Coordinator of Events is responsible for the management of special events at the Casino and Botanical Center including working with the public, Parks staff, vendors, etc. to ensure all events meet the expectations of clients and the public.
Duties & Responsibilities
- Coordinates the permitting process for 120 parks. Responsibilities include working directly with clients and City Departments to coordinate events held in city parks.
- Schedules meetings and conducts tours of the Roger Williams Park Casino and Roger Williams Park Botanical Center event facilities with prospective clients, and their preferred caterers and vendors.
- Facilitates the completion and recording of contracts for the rental of the Casino and Botanical Center event facilities.
- Tracks, collects and processes payments and supporting documentation related to events. Maintains detailed financial records of all transactions.
- Maintains a live digital calendar for all events scheduled at City parks, the Casino, or Botanical Center event facilities.
- Work with the City Service team including representing the Department at interdepartmental meetings regarding event coordination
- Performs other related duties as assigned.
- Uses all digital software tools like Event Manager, Asset Essentials, Viewpoint and other software systems needed to manage events
Minimum Qualifications
- Bachelor’s Degree with 2-years relevant experience in event planning or Associates Degree with 5-years relevant experience in event planning.
- Bi-lingual Spanish, Preferred and not required.
- Ability to work alternative work week 11 AM-7 PM, Tues-Saturday.
- Two-years of experience working directly with public and municipal departments.
- Ability to coordinate a work environment that requires independent decision making as well as managing multiple tasks in accordance with guidance provided by upline personnel.
- Ability to provide customer service and possess problem-solving skills.
- Proficient in social media platforms, Microsoft Suite, verbal communication and unassisted writing skills…
