Job Summary
Under supervision of the Director or designee performs responsible clerical work immediately below the administration level. Works independently with minimum supervision and good judgment.
This position is 8:00 am to 4:00 pm Monday through Friday.
Duties & Responsibilities
- Collects receipts and accounts, balances all payments received, and prepares reports of receipts as required.
- Maintains all public records and supporting files of the Department.
- Processes payroll data; prepares and maintains all personnel forms including sick leave, vacation, workers’ compensation, and overtime.
- Answers correspondence in certain areas of departmental operation; types and enters data in the preparation of correspondence, reports, forms, etc.
- Answers telephones, directs calls, and responds to inquiries with routine information; operates department phone system as needed.
- Maintains variety of accounts and financial records.
- Assembles all pertinent correspondence, data, documents, and other material necessary to enable an administrative superior to arrive at policy level decisions with expediency.
- Issues approved work orders, permits and licenses.
- Operates all standard office machines including a computer.
- Performs other related duties as assigned.
Minimum Qualifications
- High school graduate or equivalent.
- Experience in progressively complex office and clerical work.
- Must be able to type a minimum of 40 words per minute.
- Knowledge of general office practices, procedures, and equipment.
- Experience in bookkeeping
- Knowledge of commercial arithmetic and business English.
- Must be able to understand and carry out complex oral and written instructions.
- Must possess excellent oral communication and writing skills.
- Must be able to perform all essential functions of the job.
Training Requirements
Upon Appointment:
- Successful completion of Advanced Microsoft Word, Excel and Outlook course within six (6) months of appointment.
The term “limited” means that the successful candidate will perform the job for an undetermined length of time. The position may or may not become permanent.
