Job Summary
Under general supervision of up-line personnel of the Department of Inspections and Standards performs highly responsible clerical work involving the Department’s various Divisions.
Duties & Responsibilities
- Performs all Department Clerk level duties as outlined in that job description.
- Researches and assembles all pertinent correspondence, data, documents, and other material necessary to assist an administrative superior.
- May transcribe hearings and take minutes of meetings using dictation.
- May be responsible for administering the vacant building board-up and demolition program including, but not limited to, all the necessary correspondence, maintenance of data, coordination with contractors and inspectors, and placing and collecting liens.
- May be responsible for maintaining Department receipts ledger, recording all City and State revenues collected by all Divisions.
- Responsible for developing knowledge of all Department programs, procedures, and policies.
- May be responsible for supervising and training other clerical staff.
- May serve as assistant to Administrative Coordinator; responsibility for working as an Assistant Legal Secretary or Administrative Coordinator extends only to the duties and limits outlined above.
- Operates all standard office equipment.
- Performs other related duties as assigned.
Minimum Qualifications
- High school graduate or equivalent with business school courses or equivalent experience.
- Successful completion of Computer Training Level I course within six (6) months and Computer Training Level II course within nine (9) months of appointment.
- Must have data processing ability with a minimum of 42 words per minute and the ability to take dictation.
- Must be familiar with word processing and data base management systems.
- Ability to understand and carry out complex oral and written instructions.
- Knowledge of office procedures, practices, and equipment.
- Ability to communicate effectively and courteously.
- Ability to make decisions in accordance with the rules and regulations established by superiors.
- Must be able to perform all essential functions of the job.
