Job Summary
Under supervision of up-line personnel performs responsible and accurate clerical work in the preparation and maintenance of Court records; assists the Deputy Clerk in the day-to-day matters of the Court; interacts daily with Attorneys and the general public.
Duties & Responsibilities
- Prepares computer generated legal Court documents and queries.
- May act as Court Administrator, Court Clerk, or Deputy Clerk in his/her absence including, but not limited to, accompanying the Judge into the court room, calling the calendar, taking notes for court files, assisting Judges, and interacting with litigants and attorneys while in court.
- May perform technical clerical work concerning the preparation of required legal advertising and verifying their publications.
- Prepares Court docket and interprets and carries out administrative decisions and policies as explained by superiors.
- Prepares written and oral communications to lawyers and litigants before the Court ensuring compliance with the Court’s procedures.
- Accepts cash and checks for filings; appropriately and accurately accounts for funds.
- Prepares dockets and decrees on all Court matters for signatures.
- Prepares various important legal documents and reports relative to the business of the Court.
- Prepares and follows up on all purchase orders and requisitions of the department as directed.
- Operates all standard office equipment, opens, and distributes incoming mail, and answers and directs calls.
- Date stamps and distributes incoming paperwork.
- Maintains accurate files.
- Trains and assists subordinate clerks.
Minimum Qualifications
- High school graduate or equivalent.
- Ability to obtain thorough knowledge of the policies and operations of the Court.
- Thorough knowledge of department programs, policies, and operations with respect to the functions performed.
- Must possess excellent oral communication and writing skills.
- Considerable knowledge of basic mathematics; knowledge of bookkeeping principles, office procedures, practices, and equipment.
- Must have extensive experience in progressively responsible office and clerical work, including supervisory experience.
- Successful completion of Computer Training Level III course within six (6) months of appointment.
- Must have computer proficiency in data processing and spreadsheet programs.
- Must be able to perform all essential functions of the job.
- Must meet residency requirements of the City Charter.
- Excellent typing skills.
The term “limited” means that the successful candidate will perform the job for an undetermined length of time. The position may or may not become permanent.
