Job Summary

Under direct supervision of the Deputy Director and Director of the Department of Inspections and Standards performs highly responsible tasks such as moving the department to complete electronic format.

Duties & Responsibilities

  1. Performs all Senior Department Clerk level duties as outlined in that job description.
  2. Acts as the asset manager for the department, including but not limited to purchasing needs.
  3. Prepares bid packages for submission to the Board of Contract and Supply.
  4. Prepares administrative payroll and reviews all other department payrolls for accuracy and correctness weekly.
  5. Coordinates and maintains electronic documentation for all personnel forms.
  6. Maintains and coordinates electronic documents for all purchases made by the Department; prepares all bid packages for submission to the Board of Contract and Supply.
  7. Oversees special department projects as assigned by the Director.
  8. Maintains and coordinates with vendors regarding special projects.
  9. Analyzes department budget needs and concerns, reports them to the Director, quarterly.
  10. Responsible for maintaining statistical data and assisting Director in preparation of annual Department budget or for the City Council or the Mayor.
  11. Operates all standard office equipment.
  12. Performs other related duties as assigned.
  13. Trains designated individuals regarding tasks assigned.

Minimum Qualifications

  1. High school graduate or equivalent, preferably supplemented with a business school or college degree.
  2. Must have a minimum of five (5) years administrative assistant experience.
  3. Must be familiar with data-base management systems.
  4. Must be able to keep the department’s web site up to date.
  5. Ability to understand and carry out complex oral and written instructions.
  6. Knowledge of office procedures, practices, and equipment.
  7. Ability to communicate effectively and courteously.
  8. Ability to work independently and make decisions in accordance with the rules and regulations established by the Director.
  9. Must be able to perform all essential functions of the job.
