Job Summary
Under supervision of up-line management, exercises judgment in coordinating assignments and administrative tasks for department managers and directors; independently plans and coordinates these assignments for divisions within Providence Water and with professional and community organizations, state and local regulatory agencies, and others as directed. Develops and maintains communications, correspondence, and performs related tasks as required. Required to work in any of the several divisions throughout Providence Water, as needed.
Duties & Responsibilities
- Transcribes notes and verbal communications into written correspondence and memoranda as required.
- May be required to plan, organize, and implement all or any combination of administrative tasks or clerical assignments.
- Creates and maintains database for personnel records including dates of hire, promotions, evaluations, vacations, sick leave, workers’ compensation data, change-of-status, terminations and payroll information; processes payments for vacation, sick leave, or retroactive payroll discrepancies.
- Initializes payment requests to outside health agencies relative to workers’ compensation claims; schedules and coordinates workers’ compensation hearings.
- Maintains records of statistical data documenting crew coordination schedules with project assignments.
- Maintains spreadsheets tracking actual meter readings; maintains and organizes technical records.
- Processes orders for service installations and service removals.
- Prepares and processes water service applications for service installations and replacements. Maintains backflow database and reports as required.
- Responsible for coordinating, scheduling, and notifying management of employee grievance hearings.
- Coordinates meetings with contractors, Providence Water management, and other City departments.
- Maintains appointment calendars including the posting or revising of dates, times, and locations of appointments, and scheduling the ordering of standard inventory items.
- Monitors and engages in communications within the office, including radio transmissions, and establishes priorities in scheduling and tracking of workload in coordination with management personnel.
- Accurately performs complex technical tasks and functions requiring knowledge of computer software systems, accounting and mathematical skills. Completes skills in a timely manner.
- Composes and prepares correspondence, reports, and statistical information utilizing work processing and spreadsheet software.
- Deals with the public, employees, and other agencies in a courteous and accommodating manner.
- Performs filing, typing, receptionist functions, courier work, and maintains office records.
- Responds to daily telephone inquiries from Providence Water staff and the general public.
- Adheres to all Providence Water safety procedures.
- Performs other related duties as assigned.
Minimum Qualifications
- High school graduate or equivalent and a minimum of four (4) years of progressively more responsible experience in a position reporting to management level at Providence Water, or a degree from an accredited college or business school in administration, office management, or a related field, and two (2) years of experience in a responsible position reporting to management level.
- Proficiency with word processing, spreadsheet, and Supervisory Control software; demonstrable proficiency on software unique to organization.
- Demonstrable proficiency and skill in accurately transcribing verbal and/or recorded communications and composing written reports and/or correspondence based upon general verbal instructions with a good command of English grammar and spelling.
- Must develop and maintain alpha and numeric documents accurately and perform mathematical calculations proficiently.
- Must be able to communicate effectively and courteously both orally and in writing.
- Must possess and maintain a valid State Driver’s License and is responsible to maintain all vehicles maintenance logs.
- Must be able to perform all essential functions of the job.

Upon Appointment:
- Customer Service Training
- Sexual Harassment, Sensitivity, and Diversity Training
- Successful completion of Advanced Computer Training course within six (6) months of appointment
Sustainment:
- Participation in customer service training every 24 months
- Must maintain a valid State Driver’s License
