Job Summary

Under supervision of the Payroll Supervisor is responsible for various general payroll duties in the Payroll Department.

Duties & Responsibilities

  1. Files and answers phones.
  2. Disburses preliminary payrolls to all departments; verifies completed preliminaries and run of checks.
  3. Processes payroll exceptions, employee deductions, and various changes to the Employee Master Records.
  4. Reconciles discrepancies for payroll deductions.
  5. Prepares payments of employees’ deductions, withholdings, and benefits to the appropriate agencies.
  6. Communicates with various departments to ensure proper and timely entering of the weekly and biweekly payroll.
  7. Performs both routine and complex payroll tasks, such as entering data and managing files.
  8. Performs all duties related to processing returned checks and refund checks.
  9. Expedite bank verification forms, direct deposit forms, and other documents requesting wage information.
  10. Responsible for deferred compensation records.
  11. Performs and verifies all computer activities (data entry) regarding payroll and its process.
  12. Produces payroll reports as required.
  13. Provides quality customer service by demonstrating confidence and expertise when answering questions regarding payroll inquiries.
  14. Performs other related duties as assigned.

Minimum Qualifications

  1.  High school graduate or equivalent; and a minimum of three years of progressively responsible experience working with databased payroll management in a medium to large organization with a complex database payroll management system; or an equivalent level of education and experience.
  2. Knowledge of the standards, methods, and practices of payroll management and database payroll systems.
  3. Ability to manage a database payroll system.
  4. Ability to work collegially with staff at all levels of the organization to address matters related to payroll management.
  5. Must be able to perform all essential functions of the job.

Training Requirements

Upon Appointment:

  1. Completion of Advanced Excel, Word and Outlook Training, and other departmental appropriate software within six (6) months of appointment.
  2. Must gain a working knowledge of departmental technology, database systems, operations, and procedures through-on-the-job usage and training within six (6) months of appointment.
  3. Customer Service Training.
  4. Sexual Harassment, Sensitivity, and Diversity Training.

Sustainment:

  1. Periodic training in customer relations, ethics, and diversity/sensitivity training as required.
  2. Periodic training to maintain proficiency in departmental technology and database systems.

The term “limited” means that the successful candidate will perform the job for an undetermined length of time. The position may or may not become permanent.
