Job Summary
Under supervision of up-line personnel performs responsible clerical work frequently involving supervisory responsibilities and exercising initiative and judgment.
Duties & Responsibilities
- Supervises subordinate clerical employees engaged in a variety of routine clerical functions or a unit performing a single non-routine function; instructs, assigns, and reviews work.
- Maintains stock and inventory records.
- Performs basic bookkeeping procedures and maintains simple accounting system.
- Compiles, copies, sorts, files, and maintains documents and records of office activities and business transactions for accuracy and consistency.
- Types correspondence, reports, documents, and forms.
- Prepares a variety of reports and documents.
- Opens, sorts, and properly distributes mail.
- Answers telephones, directs calls, and takes messages.
- Operates all standard office machines and office switchboard.
- Communicates with and assists customers, employees, and others to obtain information, respond to inquiries, and investigate complaints.
- Research information, prepares report of findings, and disseminates information to customers.
- Performs other related duties as assigned.
Minimum Qualifications
- High school graduate or equivalent.
- Must have data processing ability with a minimum of 35 words per minute.
- Ability to communicate effectively and courteously.
- Ability to understand and carry out complex written and oral instructions.
- Considerable skill and accuracy with basic mathematics, business English, and bookkeeping principles.
- Ability to plan, assign, and supervise the work of clerical subordinates.
- Knowledge of office procedures, practices, and equipment.
- Ability to gain a working knowledge of departmental technology and database systems.
- Must be able to perform all essential functions of the job.
