Job Summary
Under direct supervision of up-line personnel performs complex and responsible clerical work immediately below the administrative/secretarial level involving supervisory responsibilities over clerical subordinates or responsibility for independently performing complex clerical tasks of major departmental important.
Duties & Responsibilities
- Supervises subordinate clerical employees engaged in a variety of clerical functions; instructs, assigns, and reviews work.
- Assumes responsibility for the efficient operation of the office.
- When authorized and upon request, shall furnish police records and information that are authorized for release by the Bureau Commanding Officer.
- Compiles, prepares, copies, sorts, files and maintains documents and supporting files for accuracy and consistency.
- Performs data entry and photocopying functions.
- Collects the current prescribed copying fee from the public for copying.
- Communicates with and assists customers to obtain information, respond to inquiries, prepares reports of findings.
- Disseminates information and investigates complaints.
- Researches and compiles statistics, prepares various summary and analytical reports, and provides information, when authorized.
- Types correspondence, reports, documents, and forms.
- Prepares time records.
- Performs basic bookkeeping procedures and maintains a simple accounting system.
- Processes checks and cash for the Bureau.
- Displays courtesy in all contact with the public.
- Schedules appointments upon request.
- Opens and properly distributes mail.
- Operates all standard office machines and phone system.
- Performs other related duties as assigned.
Minimum Qualifications
- High school graduate or equivalent.
- Must have data processing ability with a minimum of 40 words per minute.
- Must be able to communicate effectively and courteously with the public.
- Must be able to understand and carry out complex oral and written instructions.
- Must possess skill and accuracy with commercial arithmetic and bookkeeping principles.
- Knowledge of general office procedures, practices and equipment.
- Must be able to make decisions in accordance with rules, regulations, departmental policies and procedures.
- Must be able to maintain complex clerical records and to prepare reports from such records.
- Must be able to interact calmly with verbally combative individuals.
- Must submit to and pass a background investigation due to security issues involved.
- Must be capable of handling a large volume of calls promptly and answering pertinent questions regarding reports/records.
Training Requirements
Upon Appointment:
- Completion of Advanced Excel, Word, and Outlook within six (6) months of appointment
- Must gain a thorough knowledge of Departmental technology, and database systems through on-the-job training and usage within six (6) months of appointment
- Must successfully complete the twelve (12) hour Police Reporting course as is offered
- Customer Service Training
- Sexual Harassment, Sensitivity, and Diversity Training
Sustainment:
- Participation in customer service training every 24 months
The term “limited” means that the successful candidate will perform the job for an undetermined length of time. The position may or may not become permanent.
